Position Title: Team Coordinator, Consumer Health, Communications and Evaluation Services

Report to: Vice President, Consumer Health, Communications and Evaluation Services
Location: Toronto
Position Purpose
The Team Coordinator will support the Consumer Health, Communications and Evaluation Services business units. This includes direct administrative support for the Vice President, Consumer Health, Communications and Evaluations Services, the Group Director, Consumer Health & Innovation and the Group Director, Evaluation Services. The Coordinator will also assist with the development and/or maintenance of electronic and print materials, templates and processes that support the design and delivery of consistent, appropriately branded products.
Major Responsibilities
- Provides operational support to the Communications business
- Provides design and layout support for print and electronic marketing products including advertisements, brochures and other materials as requested in support of corporate and/or client initiatives, events or conferences.
- Assists in the coordination and distribution of external e-communications (newsletter, announcements, etc.) via MailChimp.
- Maintains systems and tools for ongoing marketing and communications initiatives (e.g. distribution lists, media lists, etc.).
- Maintains newspaper/magazine subscriptions, archives material, etc.
- Posts news releases, reports and other documents on the corporate website.
- Provides operational support to the Consumer Health & Innovation and the Evaluation Services business unit
- Assists with the maintenance of the ImagineNation Challenges microsite, including documenting and archiving content.
- Assists in analyzing data and organizing results from Challenges.
- Updates distribution lists for Challenge supporting organizations and Challenge entrants.
- Maintains the electronic file system for the Consumer Health Program
- Provides administrative support to the Consumer Health, Communications and Evaluation Services business units
- Coordinates and books meetings, solicits agenda items, maintains action logs, and manages meeting logistics.
- Arranges travel and submits expense reports for the Vice President, Consumer Health, Communications and Evaluations Services, the Group Director, Consumer Health & Innovation and the Group Director, Evaluation Services.
- Monitors and triages general Infoway e-mail boxes daily offering professional and timely responses to specific public enquiries, coordinates responses from subject matter experts and/or escalates as required.
- Provides editing and some writing support for e-mail communications, internal and external communications documents and PowerPoint presentations.
- Manages internal requests for collateral offering timely responses to requests.
- Processes invoices and submits procurement requisitions.
- Provides editing and formatting support for PowerPoint presentations, Excel spreadsheets and Word documents and templates.
Education
- Undergraduate degree or college diploma in Marketing, Journalism, Communications, Business, or a health related field
Qualifications
- Previous office experience required
- Excellent knowledge of Microsoft Office
- Understanding of or experience working in the Canadian health care industry is an asset
- Editing, proofreading, and writing, skills for print, web and social media networks
- Excellent verbal and written communications skills
- Strong interpersonal skills to work collaboratively with internal and external stakeholders
- Organizational skills in order to prioritize multiple projects and provide consistently excellent customer service
- Strong attention to detail to ensure quality deliverables
- Able to adapt to multiple demands and changing priorities
- Analytical skills and an ability to synthesize information
- Bilingual skills (French and English) is an asset
- Experience using Adobe Creative Cloud an asset
- Experience using Joomla and WordPress CMS an asset
